Tech Orientation

Hello and welcome to the Class of 2025 Study Tech Orientation! On this page, you will find information on 3 tech platforms that we will be using: Calendly, Zoom, and Dropbox.


Calendly

We will be using Calendly to schedule our interviews with our students. This will require you to create an availability calendar specifically for our Class of 2025 Study. You will be added as a team member on our Calendly account shortly. The following screenshots will guide you through the process. If you have not yet created a Calendly account, please create one with your Harvard affiliated email if you have one. We will work on the backend to get you set up with a Premium account.

Step 1: Head over to your Calendly account and click Availability on the top bar. It will be between Home and Integrations.

Step 2: On the availability page, click the button + New schedule. When prompted, name your schedule Class of 2025 Study.

Step 3: After you set up the schedule, you will have the opportunity to input your availabilities. Please share all the times that you would like to interview students over the next few weeks.

Pro-tips:

  • Click on any upcoming date and you will have the option to change the availabilities for all of the events on that day of the week

  • If you click and drag several dates, you will be able to input availabilities

Step 4: Under the account settings, you have the opportunity to connect Calendly to your calendar of choice (GCal/Outlook). Feel free to do so if you would like to have Calendly check your calendar to ensure you are available. If you share your calendar with Calendly, you will not be scheduled for interviews when you have other scheduled events. Important: If you are sharing your calendar, please ensure that you are NOT blocking off times on your calendar for when you are listing your availability. By doing so, Calendly will think that you are busy and will not assign you interviews. If you’d like to put blocks on your calendar, ensure that they are listed as “free” rather than “busy.”

Step 5: Please email alexisredding@gse.harvard.edu and dustin_liu@gse.harvard.edu with the email that you are using for your Calendly account as soon as you have finished setting your availabilities and finish setting up your Zoom (the next section!). We will add you to our shared team account after we receive both pieces of information.


ZOOM

Zoom will be how we are hosting our meetings! As explained during the process, each of you will be using a personal, recurring Zoom event to host the meetings. This will allow us to have several interviews at the same time and allow you to have full host privileges in your own room.

Step 1: Click Meetings on the left hand tab of your Zoom page. Press the Schedule a meeting button on the right hand side, right under Polls.

Step 3: After you click Recurring meeting, you will select No fixed time as the occurrence. After you have done this, press the blue Save button at the bottom of the screen.

Step 2: Title the event Class of 2025 Interview. Under the Timezone settings, you will be able to select Recurring meeting. Check that button.

Step 4: Copy and paste the Invite link. Please email alexisredding@gse.harvard.edu and dustin_liu@gse.harvard.edu your recurring Zoom link as well as your Calendly information as soon as you finish these two steps.


DROPBOX

We will be using Dropbox to upload files through the File request feature. Please use this link to access our test file request portal and upload your preferred headshot. If you have any difficulties, feel free to reach out to us!
